Overview

Email notifications are sent to reviewers at various stages of the review process as follows:

  • Assignment notification: When reviewers are assigned to a section, they receive an email notification about the assignment.

  • Ready for Review notification: Reviewers receive a second email notification when the assigned section is ready for review.

    • There are three review process options that can be assigned within projects (Any, All, and Sequential).

    • For sequential reviews, this notification is sent only to the first reviewer in the sequence, and subsequent reviewers are notified when it is their turn.

  • Completion and Reminder notifications: Reviewers can update content, add comments, and post clarifications. They can also send reminders and set due dates for reviews.

    • Once all reviewers complete their reviews, the section/proposal review is marked as complete.

    • If a reviewer identifies changes needed, they can reassign the section back to the authors, triggering an email notification to the authors for further work.

Q: Do reviewers get notified when a section is submitted for review?

A: Yes. Reviewers receive an email notification when a section is assigned to them and again when it is ready for their review. For Sequential reviews, only the first reviewer is notified initially; subsequent reviewers are notified when it is their turn.

Q: Can I add a comment before submitting a section for review?

A: Yes. When assigning a reviewer, there is an optional message field. You can also turn on the Track as section comments toggle to include the message in the section's comment thread.

Q: How do I avoid sending too many individual notification emails?

A: Use the Queue & Notify Later toggle when assigning multiple sections or questions to the same person. All notifications are batched into a single email.

Q: Can I customize which review notifications I receive?

A: Yes. Go to My Account > Preferences > Product Communication Preferences to manage your notification settings. Admins can also configure Organization wide defaults at Organization Settings > Communications > Email Preferences.

Q: Can I schedule notifications to go out at a specific time?

A: Yes. Admins can set up the Schedule Queued Notifications feature to allow you to set a recurring daily, weekly, or monthly schedule for batched notifications.
