Importing and mapping Microsoft Word and PDF documents

Overview

Microsoft Word and PDF documents must be configured before you can respond to them. We make this easy by providing an interface with configuration options to seamlessly identify sections, questions, and other content to import.

  • We don't accept any files that have imbedded macros and/or formulas.
  • Note that when you upload .doc files they are exported as .docx files upon export to source.

Importing Word documents to projects

  1. Do one of the following:
    • If this is the first document you are adding, go to the Sections tab of the project and click Upload Document.


    • If you are adding additional documents, go to the Documents tab of the project and click Add Files.
  2. Browse to and select the Word document or drag and drop it onto the screen.
    • The file will then be loaded into the application and is ready to be configured.
    • If you have Responsive AI, our File Mapping Agent automatically generates answers from your Content Library.

Importing Word documents to the Content Library

  1. Go to the Content Library, then click New at the top of the screen and select Document(s).
  2. Browse to and select the Word document or drag and drop it onto the screen, then click Next. The file is uploaded and ready to be configured.

Mapping Word documents

  1. Locate the sections within the document and highlight the text, then click Section from the Mark Options toolbar.
  2. Select Auto Identify to locate and select all sections within the document. Review the suggestions in the pop-up window, then click Apply.
    Note: Auto Identify uses the style guides within the document to identify content (sections and questions). If styles are not used in the original document, we will not be able to Auto Identify content.
  3. Locate the questions within the document and highlight the text, then click Question from the Mark Options toolbar.
  4. Select Auto Identify to locate and select all questions within the document. Confirm the selections in the pop-up window, then click Apply.
  5. To identify answers, select the appropriate text, then click Answer under Mark Options.
    Note: As a best practice, once all sections and questions have been marked we recommend using Ignore to disregard anything that is not part of an answer, then using Mark Rest as Answer to mark all answers in the document.
  6. Scroll through the document and double-check the mapping by scrolling throughout the document, then click Save to save your progress.
  7. When finished, click Import.

Note: If there are identical questions with different answers, we consolidate those questions into one question with multiple answer types upon import.
