Working with the Responsibility Matrix Tool

Overview

A Responsibility matrix is a tool used in the Request for Proposal (RFP) process that allows users to assign a team or an individual to their respective matched content from the RFP. See Responsibility Matrix Overview and Generating a Responsibility Matrix for more information.

The process below details how to view matrix details and configurations, as well as update, comment, export and delete them.

Select the applicable tab for your edition of Responsive.

  • Viewing Matrix Details

    Click the requirement to view the details on the Details pane on the right.

    Note: Keywords specified in the dictionary (Default or Custom) are highlighted on the Details pane.

    Updating the Matrix

    You can update a matrix and save the changes. The changes are automatically saved and reflect in the matrix.

    Use the left and right arrows in the Details pane to browse through requirements.

    Using Comments

    1. Do one of the following to view comments:

      • Click the Comment icon next to the shredded content.
      • Click the Comment icon under the Customize column.
      • Go to the Details tab and click the Comments tab.
    2. The comments display as shown below. You can:

      • Turn on the Follow Discussion toggle to follow a discussion. Followers are notified by email.
      • Click Resolve to resolve a comment.
      • Click the Filter to filter comments. You can filter comments based on Open Comments, Resolved Comments, or All.
      • Click Add + to add a new comment.
      • Enter text in the textbox and click Reply > to reply to a comment.
      • Click Tag @ and select a user to tag them in a reply.
      • Click Attachments and select an attachment to add it to a comment.

    Exporting the Matrix

    1. Click Export on the Responsibility Matrix page. The Export Responsibility Matrix pop-up appears:

    2. Optionally, you can choose to export all content (requirements and non-requirements) from the shredded documents by selecting the checkbox.
    3. Click Export to download the file. The downloaded spreadsheet appears as shown:

      1. Workspace Details: This section displays information about the Workspace, date and timestamp of the export, and the author.
      2. Responsibility Matrix Criteria: This section displays matrix configuration information.
      3. Requirements Table: The table lists content shredded from the documents, mapped against the matrix structure.

    Viewing the Matrix Configuration

    1. Click Menu and select View Matrix Configuration. A pop-up appears with the configuration details.

    2. Click the X to close the Matrix Configuration pop-up.

    Deleting the Matrix

    1. Click Menu and select Delete Matrix. A confirmation pop-up appears.

    2. Click Delete to delete the matrix.

    Shred Another Document

    If there are more documents available in the workspace, an option Shred Another Document will be available. 

    1. Click Menu and select Shred New Document. The Select Document page appears.
    2. Select the document to be shredded and click Next.
    3. Mark the sections and click Next.
    4. Select the content and then click Shred.
      Once the document is shredded, a success message appears as shown below:

    Viewing Matrix Details

    Click the requirement to view the details on the Details pane on the right.

      • Click the Comment icon next to the shredded content.
      • Click the Comment icon under the Customize column.

    2. The comments display as shown below. You can:

    Exporting the Matrix

    1. Click Export on the Responsibility Matrix page. The Export Responsibility Matrix pop-up appears:

    Deleting the Matrix

    1. Click Menu and select Delete Matrix. A confirmation pop-up appears.

    Shred Another Document

    1. Click Menu and select Shred New Document. The Select Document page appears.
    2. Select the document to be shredded and click Next.
    3. Mark the sections and click Next.
    4. Select the content and then click Shred.
      Once the document is shredded, a success message appears as shown below:
