Working with Project Notes

Overview

This feature must be enabled prior to use. Contact the Support team at support@responsive.io to enable it.

This article outlines how to manage Project Notes, such as any special requirements or conditions that the signing parties have agreed to fulfill as part of the RFx Project.

Project Notes can be leveraged to track obligations or commitments alongside a project that you have agreed to fulfill. This feature is flexible and customizable to the unique needs of each of our clients. Some examples of obligations/commitments you might track include:

  • Legal
  • IT
  • Customer Service
  • Product or Service Requirement
  • Data Privacy and Integrity

The name of this feature is customizable (Project Notes can be relabeled as Obligations, for example). Contact the Support team if you would like to customize the feature name.

Permissions

You must have either the Super Admin or Admin with All Permissions role in order to access the Organization Settings to create and manage project notes.

Select the applicable tab for your edition of Responsive.

  • Setting up Project Notes

    1. Go to Organization Settings > Response Projects > Notes, and click Create New.
    2. Define the project note details.

      • Enter the name.
      • Specify the status. An Active note can be reused, while an Inactive one cannot.
      • Specify if the note should be visible to all projects or just selected ones.
      • Enter information about the fields, including the name, type and values.
    3. Click Create to save your note/template. It is now listed in the Notes page.

    Creating Project Notes at the project level

    1. Click the Menu for a project to expand it, then select Project Notes.
    2. Click + Add Project Notes.
    3. The Add Project Notes pop-up appears. Enter the note, then click Add.

    Creating Project Notes at the question level

    1. Select the More Options icon for the question, then click Project Notes.
      Note: Linking a project-level note to a question on the Answering page makes it a question-level note.
    2. The Project Notes tab appears. Click + Add Note.
      Note: You can see the number of Project Notes that currently exist for the project and for the question, and you can toggle between them.
    3. Enter the Project Note and click Add.
      Note: You can click the Trash icon to delete the note or the Unlink icon to unlink the note from the question.
    4. Click the Comments icon to expand the Comments section and attach a comment to the Project Note.

    Viewing Project Notes in Card view

    1. Select Project Notes from the left navigation menu.
    2. Select Card View from the menu. You can:
      • Click the Link icon to see any questions that this note is associated with.
      • Click the Unlink from Question icon to remove the association.
      • Click the More Options icon to:
        • Edit
        • Pin the card
        • Change the card’s color
        • Delete the Project Note
        • View the Properties of the Project Note
      • Click the card and click Export to export the Project Notes
      • Click the card and click Delete to delete the Project Note

    Viewing Project Notes in Table view

    1. Select Project Notes from the left navigation menu.
    2. Select Table View from the menu. You can:
      Note: The Table View allows you to sort and filter on the columns.
      • Click the More Options icon for a Project Note to:
      • View the Properties of the Project Note
      • Edit
      • Pin the note
      • Delete the Project Note
      • Export or delete a Project Note by clicking the checkbox, and then selecting Export or Delete.
  • Essentials features are subscription-based and may not be available for all users. Contact your account manager, or accountmanagers@responsive.io, for more details.

    Setting up Project Notes

    1. Go to Organization Settings > Response Projects > Notes, and click Create New.
    2. Define the project note details.

      • Enter the name.
      • Specify the status. An Active note can be reused, while an Inactive one cannot.

    3. Click Create to save your note/template. It is now listed in the Notes page.
