Working with Answer Type Templates

Overview

New answer types can be added to all questions within a project using the Answer Type template. These templates can be used to add any answer type in bulk to all questions in project for multiple reasons (such as to track compliance, obligations, or requirements).

Applying a Compliance template, for example, can help ensure the whole team is aware which answers are compliant and which are not. This can also help the team to make the necessary changes before the project is completed.

Permissions

Only Admins who have access to the Organization Settings are able to create Answer Type templates.

Select the applicable tab for your edition of Responsive.

    Creating Answer Type Templates

    1. Go to Organization Settings > Project > Answer Type Template and click Create New.
    2. Enter a name for the template and specify the answer header on the Create New Answer Type Template pop-up.
    3. Enter a name for the template and specify the answer header.
    4. Select the Required checkbox if you want to make the field mandatory.
    5. Select the Index checkbox if you want to make the field Save or Not Save in the Answer Library by default.
    6. Select an answer type from the Answer Type drop-down list.
      Note: If the answer type selected is other than Rich Text, Text or Date, specify the value in the field and in the user interface.
    7. Click Create. A success message displays and the template is created.

    Applying Answer Type Templates

    Answer Type templates can be added at the Project level and the Section level.

    At the Project Level

    1. Click the Project > Menu > Project Settings.
    2. Click Answer Type Template section and click Add Template.
    3. Select the answer template(s) to be added to all questions in the project and click Add.
      Note: If you want to remove the applied template, click the Delete icon to remove the answer type template from the questions.
    4. Click Save.

    At the Section Level

    1. Click the project and select the sections you want to apply the Answer Type Template(s) to; then click More from the header.
    2. Select Answer Type Template from the drop-down menu. The Answer Type Template pop-up appears. Click Add Template.
    3. Select the required templates and click Add.
    4. Click Save to apply the Answer Type template to the selected sections.

    Exporting a Project Without the Answer Type Templates

    If you do not want Answer Type templates exported with your active project, you can remove them when exporting the project.

    1. In the Export Settings step of the Create Export Package page, clear the checkboxes of the answer type templates to be removed.
    2. Click Export.

    Removing Answer Type Templates

    Answer type templates applied at the Project and Section levels can be removed for specific sections.

    At the Project Level

    1. Click the Project > Menu > Project Settings. The applied answer type templates are listed under the Associated Sections column with the number of sections they are applied to (in the image below, All is applied to all sections in this project).
    2. Click the blue link under the Associated Section column or the number to remove the template from those sections. The Associated Sections section expands.
    3. Clear the checkboxes associated with the sections that you want to remove the answer type template from.
      Note: At the bottom of the screen in the image below, there is a checkbox option to for Apply for Existing and Future Sections. Make sure you check or uncheck this box depending on the needs of your project.
    4. Click Save.

    At the Section Level

    1. Select the desired sections, then click More > Answer Type Template. The Answer Type Template pop-up displays.
    2. Click the delete icon associated with the template to be removed and click Save. The Answer Type Template pop-up displays.
    3. Select Detach or Detach and Delete.
      • Detach: Select this option to detach the answer type template for all future questions in the selected sections.
      • Detach and Delete: Select this option to delete and detach the answer type template for all current and future questions, if no question is answered; otherwise, it will be detached only for all future questions.
    4. Click Yes to confirm your selection. A message stating Answer Template Updated displays.

    Reporting on Answer Type Templates

    You can generate reporting metrics and drill down on the responses within the answer type templates.

    1. Select Project Report from the Menu.

      • The Question and Answer option provides all answers, including the answers added through Answer Type Template.
      • Reporting is generated in Excel, so a drop-down answer type yields standardized responses that help generate clear reports.
    2. Click Export. The system generates an Excel file with questions, answers, and template response values in each column.
      Note: The Answers tab in the Excel export displays percentages of each listed drop-down based on the responses provided in the project at time of export.
