Using a Responsive standard template to import content

Overview

You can use our standard templates to format your historical data prior to uploading content to the Content Library, and a variety of templates are available for download in Excel format.

  • A standard template is a questionnaire that adheres to an industry’s standardized formatting and questioning when two organizations are looking to enter into a business agreement or for ongoing evaluations of existing vendors. We work with the issuing institutions to make sure the latest versions are supported.
  • Responsive has automated the process of configuring these documents, so mapping the sections, questions, and answers happens automatically once the document type is defined and imported.

Using a standard template to import content

  1. On the Library page of the Content Library click + New and select Import File.

  2. On the Upload Standard Templates tile, click the link to download the template.
  3. Complete the spreadsheet as required (see the Formatting Requirements and Notes section below), then import it into Responsive.

Formatting requirements and notes

There are two required fields that must be populated during the Standard Template import process:

  • Question
  • Answers

The standard templates provide the flexibility to set many attributes for your Q&A pairs including owners, review cycles, tags, star ratings, and more. Some values require a specific format.

Adding Multiple OwnersUse the email address associated with the user's account. All owner emails must be separated by a semicolon (;) with no spaces in between.
Alternative QuestionsMust be open text fields.
TagsAll tags must be separated by a semicolon (;) as the delimiter. Tags do not need to be created in the system prior to importing via this upload.
Last Updated DateDate format options: 2022-12-31 or 12/31/2022.
Next Review DateDate can be in a variety of formats but must include the day, month and year (see above for examples).
OwnersEnter the email address associated with the user's account. The user status can be pending verification. Do not reference the owner by their name; you must use their email address. For multiple owners, separate each email address with a semicolon (;) with no spaces in between.
CollectionAll collections must be separated by a semicolon (;) with no spaces in between.
ModeratorsUse the email address associated with the user's account. Multiple moderators can be specified, separated by a space as the delimiter. There must not be a new line separating the values.
View/Edit Privacy

The value is Everyone by default. To customize privacy settings, enter the user role(s) in the appropriate cell. Use a semi-colon (;) as the delimiter if you want to enter multiple values. This option allows you to set different attributes for your Q&As (such as different privacy settings based on the Q&A pair).

Privacy can be set in bulk (applied to all Q&As) from the Configuration screen prior to import.

Enable Answer Library ReviewTo enable the review, select True from the drop-down. To disable the review, choose False or leave blank.
 
Next Review DateDate format options: 2022-12-31 or 12/31/2022.
Review CycleTo have review cycle set to the default settings, use Default. To customize the review cycle, enter the number of days in the cell (100, for example).
Last Used DateDate format options: 2022-12-31 or 12/31/2022.
CommentMust be open text field.
Star Rating  Rating must be a numerical value between 1 and 5.
Alert Text Must be open text field.
Last Updated By Use the email address associated with the user's account.
Flag To enable the flag, click a cell in the Flag column and choose True from the drop-down. The default setting in the system is False.
