Assigning Authors to Questions Within Sections

Overview

Authors are responsible for responding to questions that they have been assigned. They can be assigned individual questions as well as entire sections.

Permissions

You must have access to Organization Settings to set up the Auto Recommend Author and Reviewer feature.

Select the applicable tab for your edition of Responsive.

  • Assigning Authors to Questions Within Sections

    There are multiple ways to assign authors to sections.

    Assigning Individual Questions

    1. Click the More Options menu for the question you want to assign, then click Manage Users.
    2. Click the Add icon and begin typing the name of the person or team you want to add as an author.

      • You can click the Remove icon to remove an existing author.
      • You can type % to see a list of available authors.
    3. Select the person or team that you want.
    4. Specify if you want to include a custom message in the notification, and if you want that message to be included with tracked comments.
    5. If you plan to send multiple notifications to the same person or team, select Queue & Notify Later so they only receive one notification. Otherwise the notification will be sent immediately.
    6. Click Save.

    Assigning Questions in Bulk

    You can assign multiple questions at once to users or teams.

    1. Select the checkboxes of the questions you want to assign and then click Manage Users.
    2. Select a radio button based on the action you want to perform:
      • Assign Authors: Assign authors if no authors are currently assigned to the questions.
      • Reassign Authors: Remove the existing authors and assign different ones.
      • Remove Authors: Remove the existing authors without assigning different ones.
    3. Begin typing the name of the person or team you want to add as an author.
      Note: You can type % to see a list of available authors, or click the Help me choose authors link to search and add users/teams.
    4. Select the person or team that you want.
    5. Specify if you want to include a custom message in the notification, and if you want that message to be included with tracked comments.
    6. If you plan to send multiple notifications to the same person or team, select Queue & Notify Later so they only receive one notification. Otherwise the notification will be sent immediately.
    7. Click Save.

    Using The Help Me Choose Authors Feature

    You can use the Help Me Choose Authors feature when you are assigning a single question or questions in bulk. Clicking the link shows you the available authors with tags and their current assignments. This can help you decide who has the needed expertise and time to work on the questions

    1. Click the Help me choose authors link from the Manage Users box, then use filters to narrow down the list of possible authors.
    2. Check the checkboxes for the people you want to add, then click Select.

      The authors you chose will appear on the Manage Users pane.

    Using the Auto Recommend Author and Reviewer Feature

    This feature must be enabled in Organization Settings prior to use.

    The Auto Recommend Author and Reviewer feature is an additional feature that supports the ability to assign SMEs as Authors or Reviewers to Sections and Questions in a Project.

    You can also define keywords and associate them with SMEs, so those SMEs will be recommended as Authors and Reviewers for Questions containing the defined keywords.
