Sharing Content Library content with guest users

You can share individual questions in the Content Library with guests and assign access level based on your need.

Guests can be assigned to an on-demand content review, but they cannot be assigned to a scheduled review.

Select the applicable tab for your edition of Responsive.

  • Sharing Content Library content with guest users

    1. Go to the Content Library and select the Q&A pair/Document you want to share with a guest.
    2. Click the three-dot menu and select Share.
    3. Click the Guests tab, then enter the email address of the guest and click Enter.
      Note: You can type % to see a list of valid guests. Select the ones you want to share the content with.

    4. Select the permissions the guests should have (View, Comment, Download Attachments or Edit). The levels of permissions are listed in increasing access, and each includes the permissions below it (for example, if guests have permission to download attachments, they can also post comments for the card).

      • View: The guest can see the Content Library card. This is the minimum level of access, and is required to share cards.
      • Comment: The guest can post comments for the card. Note: The card must have an owner for a guest to be able to post comments for it.
      • Download Attachments: The guest can download attachments for the card.
      • Edit: The guest can edit the card.
    5. Enter an expiry date when the guest will no longer have the specified permissions for the card.

    6. Click + Add Guests to add the guests. The guests will be added to the Shared Guests list.

    7. You can enter a message to be sent to the guests, if necessary. Click the toggle to track the message as a comment for the Q&A pair.

    8. Click Save when you are finished. The guests will receive an email with a link to the Q&A pairs, and the expiry time and date. If you added a message, it will be included in the email.
