Project Templates

Overview

Responsive allows you to save a project as a project template which can be reused in future to create multiple projects. Only users with the required permissions can create and edit templates. You can create a template from a project, manage the template and also create projects from the template. While creating templates, you can select the project attributes to be carried forward to a template. From the template, you can answer questions, comment, flag a content, and also convert the template to an active project.

Project templates are not included in your project count.

Permissions

  • Users with Create Project Templates permission or project owners can create project templates.
  • Only users with Edit All Templates permission and project owners will have the ability to manage these templates.
  • Only users with Create Project Templates and Edit all Templates permissions can view the templates from the Project Templates page.

Select the applicable tab for your edition of Responsive.

  • Creating Project Templates

    1. From the Projects page, click the Menu Image_27-1-2023_at_5.01_pm.jpg icon and select Save Project as Template. Alternatively, select Save as Project Template from the Menu options of the Sections page.
    2. When the Save Project as Template pop-up appears, specify a name for the template (mandatory).
    3. Select the properties to be carried over to the template.
      Note: All the project properties will be displayed here. You can select the checkbox to carry over the properties to the template.
    4. Add more owners in the Owners textbox (optional).
      • Any user with basic project permission can be added as an owner.
      • By default, whoever is creating the template will be added as an owner.
    5. Click Save.
      Note: While the template is created, you can close the template creation window and proceed with any other tasks.

    Viewing Project Templates

    1. Click the View Templates button from the Projects page.

    2. The Project Templates page appears. You can do the following:
      • From the More Options Menu of a template you can create a project, edit template details, view the template properties, and delete the template.

      • You can answer the questions in the template by clicking on the template name and then navigating to the questions. The responses can be saved. All activities that can be performed for Projects can be done for Project Templates too except for adding tasks and clarifications.
      • The Authors and Reviewers displayed along with the template will not be notified as they are just carried over from Projects. They will be notified only if @mentioned in comments. The Authors and Reviewers added here will be added to the team when a project is created.

    Creating Projects from Templates

    You can create a project from template from the projects page as well as the Templates page.

    1. From the Projects page, click New Project and select Create Project from Template. Alternatively, select Create Project from the Templates page. The Choose Project Template page appears.

    2. Click Next from the top-right side of the page.

    3. From the left pane, select the properties of the template that you wish to carry over to the project.
      Note: If Notify Authors and Reviewers is selected, the authors and reviewers will be notified once the project is created.
    4. In the right pane, you can browse and upload a new document (optional).
      • If a new document is uploaded, the existing document in the template will act as the source document and the new document uploaded will be considered as the target document. All configurations from the source document will be carried forward to the target document. However, if the source document is a standard template, you have to manually configure the target document.
      • If there are multiple source documents, you can select the document which has to be used as the source document for carrying over the configurations to the target file.
    5. Click Next. The Create Project page appears.

    6. Specify the details and click Create. The Creating Project pop-up will be displayed. Properties will be carried forward to the target document and the project will be created.
      • In case of comments, only open comments will be carried forward.
      • Based on the attributes selected for project creation, the related activities will also be carried over to the project.
    7. Click View Sections to view the project sections.

    Editing Templates

    1. Click Edit Details associated with the template.

    2. Make the required modifications and click Save.
    3. From the Menu options, you can:
      • View the import configuration of the source file
      • Preview the Responses
      • Delete the template
      • Manage Template Settings
      • Add Merge Tags

    Viewing Template Properties

    1. Click View Properties.
    2. Review the details such as the source project from which the template was created, the created date and person, owner, last edited by, and the count of projects for which this template is used on the right pane.

      • Click the source project name to navigate to the Source Project page.
      • Click the used count to display the projects which were created using this template.

    Deleting Templates

    1. Click Delete.
    2. Click Delete Permanently on the Deletion Confirmation pop-up.

    Creating Project Templates

    1. From the Projects page, click the Menu Image_27-1-2023_at_5.01_pm.jpg icon and select Save Project as Template. Alternatively, select Save as Project Template from the Menu options of the Sections page.
    2. When the Save Project as Template pop-up appears, specify a name for the template (mandatory).
    3. Select the properties to be carried over to the template.

    4. Add more owners in the Owners textbox (optional).
