Overview
You can make changes to question attributes in bulk by downloading content into Word or Excel files, making the changes, and uploading the updates into your Content Library.
You can also export the used history of content in your library.
Permissions
You must be an Admin or Super Admin, or the owner of the content, to make these changes. You can't update content if it's locked for Moderation or Review.
Exporting questions
- From the Q&A Pairs tab in the Content Library, select the questions you want to export.
- Click Tools icon and select Export Content.
- Specify whether you want the export file to be an Excel spreadsheet or a Word document.
Note: When choosing your export format, note that formatting and images will not be retained if you import a file from Excel.- For Excel files:
- Select the fields to export.
- All the fields are selected by default. If you want to reduce the size of the exported file, clear the Select all fields checkbox and then manually select the fields you want to export.
- You must select the ID field.
- You can use the Search field to find a specific field.
- Click Export images in answers to a separate folder if your file contains images and click Export.
- Select the fields to export.
- For Word files:
- Select the fields to be exported and click Next.
- Select a template from the available Word templates.
- For Excel files:
- Click Export. Your export request appears on the My Recent Exports tab and shows the progress of your request.
- You can click Download to download the file or the Trash icon to delete it.
- You can view the export configuration by clicking the icon for the same.
- The file includes only the fields you selected.
Importing content
- Make your updates to the file. You can modify any fields except for attached files and the Question ID.
- Save your changes.
- To import your updated content, click the Tools icon and select Import Updates.
- Select Choose File and navigate to your import file.
- Click Import. After the import, you will receive a report on the number of records that were updated.
Note: An import may fail or be rejected for the following reasons:- A new column was added to the file.
- The Q&A pair is under Review.
- The Q&A pair is under Moderation.
- The file contains incorrect email addresses.
Exporting the Used History
The Export Used History displays details about Answer Library content used in projects.
- From the Q&A Pairs tab on the Content Library, click Tools icon and select Export Used History.
- Specify the fields you want to export (you must export the question) and click Export.
The exported .xlsx file is downloaded to your computer.
