Importing and exporting content to and from the Content Library

Overview

To make changes to question attributes in bulk, you can download content into Excel, make changes and upload the updates into your Content Library.

You can also export used history of content in the Content Library.

Permissions

You must be an Admin or Super Admin, or the owner of the content, to make these changes. You can't update content if it's locked for Moderation or Review.

Select the applicable tab for your edition of Responsive.

  • Exporting questions

    1. Switch to the Q&A Pairs tab on the Content Library.

    2. Select the questions to be exported.
    3. Click Tools icon and select Export Content.
    4. Specify if you want the export file to be an Excel spreadsheet or a Word document.
      • When choosing your export format, consider that formatting and images will not be retained if you import a file from Excel as described in the next section.
    5. If Excel is chosen, select the fields to export.

      • All the fields are selected by default. If you want to reduce the size of the exported file, clear the Select all fields checkbox and then select the fields you want to export.
      • You must select the ID field.
      • You can enter criteria in the Search field to find a specific field.
    6. Click Export images in answers to a separate folder if necessary (for Excel export) and click Export.
    7. If Word is selected, select the fields to be exported and Click Next.
    8. You can select word templates from the available Word templates listed in the Templates module.
    9. Click Export
      • Your export request will appear on the My Recent Exports tab. It will show the progress of your request. Click Download to download the file, or the Trash icon to delete it. You can view the export configuration by clicking the icon for the same.
      • The file will include only the fields you selected.

    Importing content

    1. Make your updates to the file. You can modify any fields except for attached files and the Question ID.
    2. Save your changes.
    3. To import your updated content, click Tools icon and select Import Updates.
    4. Select Choose File and navigate to your import file.
    5. Click Import. After the import, you will receive a report on the number of records that were updated.

    Exporting the Used History

    The Export Used History will display details on Answer Library contents used in projects. To generate Export Used History, you can follow the steps below:

    1. Switch to the Q&A Pairs tab on the Content Library.
    2. Click Tools icon and select Export Used History.
    3. Specify the fields you want to export. You must export the question. Click Export.

      The exported .xlsx file will be downloaded to your computer.
