Overview
This article defines common terms used within Responsive. For icon definitions, see Glossary of Responsive icons.
Responsive terms
- Workflow: Automate certain business processes. You can create a rule where, based on the criteria you set, Responsive will automate functions like send an email, create a task, or update a status.
- Content Library: A repository of historical responses recorded from various RFx projects that can include files.
- Internal contact: An internal contact is the user/s selected by Super Admin and Admin Users to field questions directly from colleagues within the solution. The internal contact typically owns the solution internally and is the first line of defense against all questions for the organization.
- Project primary contact: The project primary contact is the person who owns the project, they get all task updates regarding the project.
- Author: An author is responsible for answering the questions assigned to them. An author can either be assigned at the project level, section level, or for an individual question.
- Owner: An owner is assigned to existing Q&A pairs within the Content Library and are responsible for maintaining and upkeep of it. An owner can also be assigned review cycles for Q&A pairs.
- Moderator: A moderator is a job that is only done within the Content Library. If enabled (in Organization Settings), a moderator reviews any edits made to existing Q&A pairs in the Content Library that they are assigned. The moderator will be notified by email either after an owner makes an edit to an existing Q&A pair or when assigned to a potential new Q&A pair within moderation.
- Reviewer: Reviewers review the answers input by the author of a question. A reviewer can be assigned at the project level, section level, or for an individual question.
- Review cycle: A review cycle is assigned per Q&A pair in the Content Library. They can only be assigned to a Q&A pair that has an owner already assigned. The review cycle can be customized per Q&A pair and the owner will be notified on the due date of said review.
- Guest: A guest user is a non-Responsive user who can be granted visibility to only the content to which they are assigned. The guest user will be sent the content via email. They will not need to set up a login.
- Alert text: Alert text can be attached to specific Q&A pairs to share important information with other users, such as critical documents that need to be attached or information that needs to be frequently updated prior to that Q&A pair being used.
- Collection: A collection is a way to segment your Content Library. It has the ability to restrict visibility to certain Q&A pairs, documents, or section templates to only users assigned to said collection.
- Tag: A tag is a way to organize your content. It is a key word or phrase to help you filter your content into smaller groups in a quick and simple way.
- Merge Tag: Merge tags allow you to use a single tag within project responses that will update dynamically to defined content anywhere the tag is used.
- Project: A project is a series of tasks like authoring, reviewing various sections within a project systematically and returning back in a format.
- Intake: The intake form is an add-on that allows you to funnel all your projects into a queue to be managed by your administrator(s). Each project can be quickly analyzed and immediately converted into an active project or can be rejected if the project doesn't qualify.
- Response Templates: These are Word documents customized with your corporate branding to give projects the appropriate look and feel of your organization. Add images and branding accents to the template to give your template a tailored feel. The application reads the style guides you select for sections, questions, and answers. You can use the default styles or create your own.
- Section Templates: Custom templates that contain standardized pieces of content that can be imported into a project.
- Catalogs: A template that allows you to organize the content for your products and services.
- Clarifications: Clarifications are mainly used for external communication to where you can post clarifying questions that are attached to the content in question and can be exported and sent to the issuer.
- Description: Content can be added as a description when it explains the particular section in detail. Descriptions add context to questions but are not questions themselves. Additionally, descriptions can be imported, edited and exported.
- Label: Only available for Word or Excel files; labels allow you to import information for a question in a table as a description.
- Help Text: Similar to the description text in that it provides context and a framework to answer the questions underneath them. You have the ability to mark text as help text for import, but the text is not editable in the solution, nor will it export within a project.
- Index: Checkbox setting on the question level that automatically saves or does not save a specific answer configuration into the Content Library.
- Custom Fields: Simplifies categorizing content within the Content Library. Users can also create project based custom fields.
- Recommendation Engine: The Recommendation Engine searches through the Content Library to find a historical response that applies to the current question you're responding to.
- Grid view: Optional viewing style that allows users to work in a spreadsheet like space with a customizable view.
- Auto-Respond: A unique feature that automatically responds to questions that are similar to questions you've answered previously, allowing users to mass auto-complete several questions from multiple sections at once.
