Creating and managing flags in the Content Library

Overview

You can create multiple flags for the Content Library, with differentiation through color coding, for your content. You can create custom flags from the Organization Settings to make them available for selection in the Content Library. Flags can also be used for projects.

Permissions

You must have Administrative access (Super Admin, Admin with All permissions, or equal Custom Roles) in order to create flags.   

Creating flags

You can create flags with custom names and colors from the Organization Settings.
Note: If a custom flag is deleted from the Organization Settings, it is removed from any flagged content as well.

  1. Go to Organization Settings > Content Library > Flag (the Follow-up flag is displayed by default) and click Create New.
  2. Complete the information on the Create New Flags pop-up:

    • Enter a name for the flag (mandatory).
    • Click the Color icon and select a color for the flag.
  3. Click Create. A success message displays and the newly created flag is listed on the Flag page.

Flagging content

  1. Locate the content to be flagged, then do one of the following:
    • Click the Flag mceclip3.png icon on the content card to expand the Flag list, then select the required flag to apply it.

    • Click Edit on the content card to open the Edit Q&A Pair window, then flag the content from the Metadata section.

Managing flags

  • Hover over the colored Flag icons to view their names.
  • To clear a flag, click on it to expand the Flag list and click Clear All to remove all the flags or clear the checkbox associated with a single flag to remove it.
  • You can bulk update (add or remove) flags.
  • For content in moderation, Flag icons appear disabled and can't be edited.
  • When content is exported, flag details are also exported. You can also import flag details to the Content Library.
  • In the Compare and Merge and Merge Duplicate Questions pop-up, you can add or remove flags, and override them from the Metadata section before merging the content.
  • You can view the flags and their count details from the Content Library Insights window, as well as click on a flag name to filter and view contents with that particular flag.

Filtering content by flags

You can filter and view content based on flags. The flags, along with their color and count, appear in the Filter pane.

Performing advanced searches based on flags

  1. Click the Filter Screenshot_2023-01-23_173212.png icon on the search bar to open the advanced search section, then click Yes in the Flag section.
    Note: If you don't see the Flag section, click +Add Filter and select it from the list of filter options.

  2. Select the required option from the Any/All/Exclude drop-down list and specify the flag in the Flag drop-down list.
  3. Click Apply to search. The result will be displayed as shown below:
    • All matching content within a selected tab will be displayed.
    • The count of content in each tab is displayed separately along with the tab name.
