Managing Profiles

Overview

This article provides information on how to manage your profiles.

Select the applicable tab for your edition of Responsive.

  • Managing Profiles

    Renaming Profiles

    To rename the profile, access the edit mode by clicking on the profile title, then proceed to make the desired changes. To save the changes, press the Enter key or press the Esc key to discard the changes.

    Managing Sections

    You can organize your content by placing them in sections. The application automatically creates an empty section to help you get started. You can perform the following actions on a section.

    • Create: When creating a profile, an empty section is automatically generated, however, you can add additional sections by clicking Add New Section.

    • Rename: To rename a section, access edit mode by clicking on the section title. Then, proceed to make the desired changes. To save the changes, press the Enter key, or press the Esc key to discard the changes.

    • Delete: To delete a section, click the delete Delete icon on the section that you want to delete. Click Delete again on the confirmation pop-up to confirm.

    • Expand/Collapse: To expand or collapse a section, use Collapse Expand icons. By default, the section is expanded.

    • Reorder Section: To change the order of sections, hover over the item and click to drag the six-dot handle to the desired position.

    Previewing Profiles

    To preview your profile as a client, click on Preview located at the top-right corner of the page. Once you are on the preview screen, you can navigate to a specific section using the index on the left. Click Back to Edit to return to the profile.32

    Additionally, you have the option to view or download the attached artifacts, just like a client would. Click Back to Edit to exit the preview mode.

    • Searching Profile Content:

      Profile builders and managers can use the search box at the top of a published profile on the Preview page to perform keyword searches. Matches for the specified keyword from the Profile Summary, Questionnaire, or Documents are instantly displayed in a quick-view drop-down as the search term is entered.

      The feature is also available to the profile viewers.

      For added convenience, five of the recent searches performed are displayed when you click into the search box making it easier to revisit previous searches.

      You can use the Clear all to remove the recent searches or remove a specific search by clicking the corresponding [i] Close - Red.png icon.

      As you begin typing keywords in the Search box, Responsive instantly prompts relevant completions based on the content found in profiles, such as Profile Summary, Questionnaire, and Documents. Use the Tab key to insert the prompted suggestion.

      Options to filter the results by Documents and Questionnaires are available on the drop-down for easy access.

      You can click on a result or [i] PC - Open in New Tab.png to open the artifact in a new tab.

      Note: Artifacts with security enforced are indicated by [i] PC - Locked Artifact.png and profile viewers will need to complete the security check before accessing it.

      Additionally, clicking on View All Results or hitting the Enter key displays all the matching results on the search results page.

    Publishing Profiles

    You must create and apply a custom role that specifically grants users publishing permission.

    Note: You must be a Super Admin to perform this task.

    1. Go to Organization Settings > Manage Roles > Add Role, then turn the Profile Center toggle on.
    2. Check the Publish Profile box, then click Create Role.
      Note: Checking this box automatically selects the Manage Profile, View Profile Artifact, and Download Profile Artifact options.

    Once you are given publishing permission, a profile can be published from the following locations:

    • Active tab
    • Profile tab
    • Preview page

    To publish your profile, click Publish from any of the above locations. A confirmation pop-up is displayed, click Publish once again to confirm.

    Updating Published Profiles

    Profiles that have been published can be updated in real-time, making the changes immediately available for the shared users.

    To update a published profile, follow the steps below.

    1. Click Edit Profile on the Profile tab.
    2. Make the desired changes. Changes are automatically saved and reflected immediately.
    3. Click Close Edit to go back to the profile.

    Deactivating Profiles

    You can easily deactivate both drafts and published profiles. Deactivated profiles are marked as inactive and moved to the Inactive tab.

    When a published profile is deactivated, it restricts shared users from accessing it and its artifacts. In the Inactive tab, you can choose to restore the profile as a draft, review its activity, or permanently delete it.

    To deactivate a profile, follow the steps below.

    1. Navigate to the Active tab.
    2. Click the three-dot menu for the profile you want to deactivate.
    3. Select Deactivate Profile and click Deactivate Profile again on the confirmation pop-up.

    Deleting Profiles

    Profiles that are no longer needed can be removed by moving them to Trash either from the Active or Inactive tab. Deleted profiles are retained for 30 days before permanent deletion. Alternatively, if you prefer, you can manually delete the profile permanently from the Trash page.

    To view the deleted profiles, click View Trash on the Inactive tab.

    Restoring Profiles

    Profiles that have been moved to the trash can be restored within 30 days of deletion. Restoring a profile will set it as a draft and it will be available in the tab from which it was deleted.
