Creating and managing catalogs

Overview

Catalogs serve as a listing of all the various products, offerings, and services of a particular company or product line.

Before creating a catalog, you must create a catalog structure that will define and organize the products, services and offerings. See creating and managing catalog structures for more information.

Select the applicable tab for your edition of Responsive.

  • Creating catalogs

    1. Go to the Library page of the Content Library, then click New and select Catalog.

      Note: Already created catalogs can be viewed from the Catalogs tab.
    2. When the Add catalog pop-up appears, enter the details, specify the metadata, and privacy, usage, and review details.
    3. Click Create.

    Managing catalogs

    The following can be viewed/performed in the catalogs card:

    1. Last updated: Indicates when the catalog was last updated and by whom.
    2. Copy link: Click to copy the catalog link.
    3. Managing owners: Hover over the Owner avatar to view the current owners. To modify the owners, click the avatar icon to expand it. You can remove the existing owners, or search and add new owners. Click Save when you are done with the changes.
    4. Marking favorites: To mark a catalog as favorite, click the Mark as my favorite icon associated with it.
    5. Managing flags: To view the flags, hover over the Flag icon. To add or remove flags, click the icon to expand the section. Select or clear the checkboxes as required. You can search for flags by clicking the search icon and then specifying the keyword in the search textbox.
    6. Comments: Click to view or add any comments. The Comments pane expands. You can @mention users in comments, then click click Send to share the comments. You can also add attachments to your comments by clicking the Attachment icon.
    7. Edit: Click to edit the catalog. The Edit Catalog pop-up appears from where you can edit the catalog details, metadata, privacy and usage. Click Save to save the updates.
    8. Properties: Click to view the properties. The Properties pane expands.
    9. Three-dot menu: The following actions can be performed from here:

      • View properties: Click to view properties in the Properties pane
      • Share catalog: Click to share the catalog. The Share Catalog pop-up appears. Specify the users to whom you wish to share the catalog. Click Share.
      • View Activities: Click to view all activities performed on the catalog.
      • Initiate on-demand review: Click to initiate on demand review.
      • Archive catalog: Click to archive the catalog. Once archived the catalog will be available in the Archive page. You can either unarchive the content or delete it.
      • Delete catalog: Click to delete the catalog. A warning prompt appears. Click Move to trash to delete the catalog. Once deleted it will be available in the Trash page. You can either restore the catalog or delete it permanently.
    10. Catalog name: Displays the name of the catalog.
    11. Catalog structure: Displays the name of the catalog structure.
    12. Star rating: Indicates the star rating. You can edit the star rating by clicking on the requires star.
    13. Used count: Indicates how many times this catalog has been used in proposals. 
    14. Tags: Indicates the tags applied to the catalog. You can add new tag by clicking Add tag.
    15. Merge tag name: Indicates the merge tag name (from the catalog structure)
    16. Copy merge Tag: Click to copy the merge tag.
    17. Merge tag value: Indicates the value specified for the merge tag in the catalog.
    18. Read more: Click to expand the catalog card.

    Other actions

    You can import updates, export catalogs, view the insights and perform bulk operations from Catalogs tab.

    • Tools:
      • Import Updates: Click to import file to upload any updates.
      • Export Catalog: Click to export catalog.
      • Export Used History: The Export used history pop-up appears. Select the fields to be included in the used history report. Click Export.
      • Obsolete Content: Click to view the obsolete content. The Obsolete content page appears. You can delete or archive catalogs from here.
    • Insights: Click to view the content library insights.
    • Settings: Click to customize metadata to be displayed on the content card. You can add/remove metadata from here.
    • Tags: Click to Bulk update tags.
    • Collections: Click to bulk update collections.
    • Owners: Click to bulk update owners.
    • More: The following bulk actions can be performed:
      • My Favorites
      • Other Bulk Options (metadata, privacy, usage, and review, and custom fields)
      • Bulk Share
      • On Demand Review
      • Archive
      • Delete

    Sorting catalogs

    You can sort catalogs based on Relevance, Updated date, Created date, Last reviewed date, Used count, Last used date, rating, alphabetical.

    Facet filters

    You can filter catalogs based on facet filters such as tags, collections, business units, and owners.

    Advanced search

    Using advanced search from the Catalogs tab allows you to perform keyword searches in catalog display name and merge tag value.

    You can further filter using attributes such as tags, collections, star rating, and more. Once the filters are selected, click Apply.

    Creating catalogs

    1. Go to the Library page of the Content Library, then click New and select Catalog.

    Managing catalogs
