Proposal Builder Roles and Permissions

Understanding permissions is key to controlling what users can do on Responsive's Proposal Builder. This article explains the different permissions available for standard and custom user roles, helping you manage user access effectively.

Standard Out-of-the-Box User Role Permissions

In addition to the standard permissions for the other modules, standard roles additionally have the following permissions for Proposal Builder.

Super Admin

  • Proposals
    • Create, view, and manage all Proposals, including those created by anyone in your organization.
    • View Proposal Analytics
    • Download proposals in Word and PDF formats.
    • Share proposals.
    • Assign Reviewers.
  • Proposal Templates
    • Create, view and manage all Proposal Templates, including those created by others in the organization.
  • Organization Settings
    • Create and manage Catalog Structures, Preferences and Custom Fields.
  • Content Library
    • Create and manage Sections and Catalogs in the Content Library.
  • Response Template
    • Create and manage Response Templates.

Admin with all Permissions User Role

  • Proposals
    • Create, view, and manage all Proposals, including those created by anyone in your organization.
    • View Proposal Analytics
    • Download proposals in Word and PDF formats.
    • Share proposals.
    • Assign Reviewers.
  • Proposal Templates
    • Create, view and manage all Proposal Templates, including those created by others in the organization.
  • Organization Settings
    • Create and manage Catalog Structures, Preferences and Custom Fields.
  • Content Library
    • Create and manage Sections and Catalogs in the Content Library.
  • Response Template
    • Create and manage Response Templates.

Proposal Builder Admin User Role

  • Proposals
    • Create, view, and manage all Proposals, including those created by anyone in your organization.
    • View Proposal Analytics
    • Download proposals in Word and PDF formats.
    • Share proposals.
    • Assign Reviewers.
  • Proposal Templates
    • Create, view and manage all Proposal Templates, including those created by others in the organization.
  • Organization Settings
    • Create and manage Catalog Structures, Preferences and Custom Fields.
  • Content Library
    • Create and manage Sections and Catalogs in the Content Library.
  • Response Template
    • Create and manage Response Templates.

Note: Proposal Builder Admin role is specific to Proposal Builder and does not have any permissions for other modules on the platform.

Manager User Role

  • Proposals
    • Create, view, and manage Proposals, including those created by anyone in your organization.
    • View Proposal Analytics
    • Download proposals in Word and PDF formats.
    • Share proposals.
    • Assign Reviewers.
  • Content Library
    • Create Sections and Catalogs in the Content Library.
    • Manage Sections and Catalogs they own in the Content Library.
  • Response Template
    • Create and manage Response Templates.

Team Member User Role

  • Proposals
    • Create, view, and manage Proposals. Users can only view and manage their own proposals.
    • View Proposal Analytics of proposals they create.
    • Download proposals they create in Word and PDF formats.
    • Share proposals they create.
    • Assign Reviewers they create.
  • Content Library
    • Create Sections and Catalogs in the Content Library.
    • Manage Sections and Catalogs they create/save in the Content Library.
  • Response Template
    • Create and manage Response Templates.

Project Requestor User Role

Users with this role cannot access Proposal Builder.

Custom Role Permissions

  • Custom Role

    • As a Super Admin, you can create custom roles to define access to Proposal Builder features. Go to Organization Settings > Users > Manage Roles and select Add Role. Then, enable Proposal Builder and customize the permissions as needed.
