Viewing obsolete content in the Content Library

Overview

You can identify any content that is outdated or has not been used (or edited) over a period of time.
Note: If content is copied or edited, it is no longer considered obsolete.

This feature is enabled by default and has a set time period of one year; however, you can customize the timeframe. 

Select the applicable tab for your edition of Responsive.

  • Enabling the obsolete content feature

    1. Go to Organization Settings > Content Library > Preferences, then click Duplicate and Obsolete Content.

    2. Do the following to customize the feature:
      • Select the time frame beyond which the content should be considered obsolete.
      • Select the frequency you want the summary of obsolete content to be emailed to you.
      • Select the users who should receive the obsolete content email notifications.
      • Select the roles for which the email notification should be sent to.
    3. Click Save.

    Viewing obsolete content

    You can view, edit, delete or archive obsolete content from the Content Library.

    1. Click the Tools icon and select Obsolete Content.

    2. When the Obsolete Content page appears, you can do the following:

      • View the last used/edited date.
      • Click the Edit icon to edit the content.
        Note: Once the content is edited it is no longer considered obsolete.
      • Click Delete to delete the content, or Archive to archive the content.

    Using the advanced filter to search for obsolete content

    1. Click the Advance Filter icon and select your obsolete content criteria, then click Apply.
      Note: If the Obsolete Content section doesn't appear in your advanced search options, click Apply Filter and select it from the list.

    2. Once the content appears, you can click the Content Cleaner link to delete or archive the content.

    1. Click the Insights icon.

    2. Scroll down to the Obsolete Content tile to view the information.
