Using Ask with Responsive LookUp for Word and Excel

Responsive LookUp for Word and Excel gives everyone at your organization access to content in Responsive without having to directly log in to the application and get subject matter expertise when they need it, where they need it.

  • You can use Ask with LookUp when working with a Word or Excel file to help you craft responses.
    Note: Responsive AI features (such as Ask) are only available in the New Experience of LookUp.
  • You can also use Answering Agent within Ask to bulk respond to questions.

You can identify and respond to questions in Word and Excel using the Microsoft plugin. See Setting Up Responsive LookUp for Microsoft Word, Excel, and PowerPoint for more information.

You want to use text approved by your Legal department in an email to a prospect, or create a Word document with product information from your Content Library.

Using Ask with Responsive Lookup for Word and Excel

  1. Open the Word or Excel file, then open Responsive LookUp.
  2. Click Ask at the top of the page.
    Note: If necessary, click the Switch to new experience button at the top right-hand corner of the LookUp window; Responsive AI features (such as Ask) are only available in the New Experience of LookUp.
  3. Do the following as needed:
    • Search for content using a keyword search: Enter the words and press Enter or click the Send icon.
    • Generate an initial response for select questions: Select the text you want to generate responses for and click Find Response to prompt Ask to create an initial response based on your highlighted text.
      Note: If you are working with an Excel spreadsheet, click on the cell with the question.
    • Generate initial responses for the entire document: Click the Answering Agent button (without selecting anything in the file) to start analyzing it, then select a response mode:
      Note: The progress of the questions answered appears in the right pane.
      • Near real-time response mode: Responsive AI identifies questions and provides immediate responses within the document.
        • You can approve or modify responses in real time.
        • The document is updated instantly with no need for additional review.
      • Project-based mode: Responsive AI identifies questions and creates a Guided Project within the application.
        Note: You can modify and export the responses from within Guided Projects.
        • Responses are generated for all questions collectively and undergo a review process before finalization.
        • Once the project/section is completed, the source file is updated with the reviewed responses.
    • Refine a response: Refine the generated response(s) using the standard Ask options, then press Enter or click the Send icon to generate the updated text.
      • Rewrite: To generate an alternative phrasing of the response.
      • Active to Passive: To change the voice of the response from active to passive.
      • Concise: To shorten the response.
    • Provide specific instructions: Before clicking any of the Ask options above, you can type specific instructions into the chat field. For example, you could enter 50 words or less to request a shorter response.
  4. (Optional) Click Sources to see the materials Responsive AI used to generate the answer(s).
  5. (Optional) Click the View Properties icon to view the properties associated with the content.

    Note: You can't view properties in the New Experience, you must switch back to the Classic Experience.
  6. When you are satisfied with the answer, click the Copy icon to copy the text or Apply to apply the change to the original file.
    • If you modify content in LookUp before applying it, the changes are not saved back to the Content Library.
    • If you use Apply to update a Word document, the answer is added after the text you highlighted. If you use it to update an Excel file, the answer is added within the cell to the right of the highlighted cell.
    • If you use Copy, the text and its styles (as set in the Content Library) are copied.
