Using Responsive with Google Drive

This article explains how to use our Google Drive integration feature to import documents and files stored in Google Drive into your Content Library, and how to export response packages to it. This provides:

  • Easier access to files
  • Better workflow organization
  • Secure document management
  • Improved efficiency

Note: You must grant Responsive access to your Google Drive files to use this feature.

Importing documents into your Content Library

You can import documents from Google Drive into your Content Library so you can use them in Responsive. To import a document, perform the following steps:

  1. In the Content Library, select New to display the menu. Click Document(s).

  2. Click the Google Drive icon on the left.

  3. If you are not signed in to Google Drive, you will be prompted to sign in. Be sure to allow Responsive (Formerly RFPIO) to access your Google account. Select the files you want to upload. You can search for them or click a tab at the top to filter the files by type. When you are finished, click Select.

  4. Confirm that you have the documents you want. Click the trash icon to remove a document, or click Next.

  5. You will be prompted to enter information about the document. Click the down arrows to expand the sections for Metadata and Privacy, Usage and Review to see more fields.  We recommend that you assign an owner and at least one tag for every uploaded document. When you are finished, click Upload.

The document will be displayed in your Content Library.

Updating an imported document

If the original document is changed on Google Drive, the document will be marked with a blue dot on the Google Drive badge in the corner.

You will be prompted to update the document with the changes. Click Update to replace the file with the updated version.

Note: If you update the document in your Content Library, it will not be automatically updated in Google Drive.

Responsive checks for updates daily. If you think the document has been updated but don’t see the blue dot, you can trigger a check by clicking the icon.

Responsive will indicate if there is a newer version of the document as described above, or if you have the latest version of the document.

Importing files into your Content Library

You can import a file of Q&A pairs into your Content Library when the file is stored on Google Drive. To import a file, perform the following steps:

  1. In the Content Library, select New to display the menu. Click Import File.

  2. Click the three-dot menu at the top of the page and then click Add New File.

  3. Click the Google Drive icon.

  4. Click the file you want to import, and then click Select.

  5. Map the questions and answers in the file as usual. When you are finished, click Next.

  6. Enter the properties for the pairs. We recommend all pairs have at least one owner and one tag. When you are finished, click Import.

  7. The pairs appear in your Content Library, filtered to display them.

Note: If the file on Google Drive is updated later, the changes are not reflected in your Content Library. 


Exporting files

You can export a response to Google Drive by performing the following steps:

  1. Create your export package as usual. Select the three-dot menu for the package, and then click Save to Google Drive.

  2. Navigate to the proper folder for the package, and then click Select. The file will be exported to that Google Drive folder.
