Using Agent Studio

Overview

This feature is part of our Early Access Program, which gives our qualifying customer base access to upcoming beta capabilities, clearly marked within the product. It’s an opportunity for users to explore what’s new, share feedback, and influence how these capabilities evolve. To be added to the Early Access Program, contact your designated Customer Success Manager (CSM) or Account Manager (AM) to request access.

You can use natural language instructions to automate tasks like:

  • Detecting untagged content and adding tags
  • Detecting outdated content and archiving those items

You can set up notifications to send emails when the agent runs.

Agents created in Agent Studio currently take action on Q&A pairs and documents in your Content Library only. It will be expanded to additional modules in future releases.

Responsive is providing a number of out-of-the-box templates that you can use with minimal configuration to help you get started.

The Dashboard

When you access Agent Studio, the dashboard shows all the agents you can access. You can click the All Agents/My Agents/Templates toggle to help you find a particular agent. You can also search for an agent.

The agents appear on the dashboard. You can see the name, status, description and schedule for each agent. 

Click Run now to run it.

Click the three-dot menu for the card to edit or delete the agent.

Click on the agent card to see activity information for that agent.

You can see the results of each run and click View Details for more information. Click the tabs to see the changes for your Q&A pairs or your documents. 11.png

Running an Agent

To run an agent, perform the following steps: 

  1. Click Run now.

  2. The status of the run will appear at the bottom of the page. If the agent has the deployment mode  Live, the changes will be made. If the agent is in Review status, it will pause so you can review the changes. Click Details

  3. If your agent is in Live mode, the changes will be displayed.

    If your agent is in Review mode, you can see the status of the run. Click Review to accept or reject the changes.

        1. The records are displayed. Click Reject All to reject the changes. Click the red circled X to reject the change to individual records. Click Accept all to accept the changes.

          The activity log for the run is also updated.

  4. Click Undo to reverse the changes made for a run. You will be prompted to confirm the reversal because it cannot be undone.

  5. Click View Details to see the individual records. Click the appropriate tabs to see the Q&A pairs and documents.

Creating an agent

Agents find records in your Content Library based on your search criteria and perform an action on those records.

The available actions are:

  • Search and filter contents (Q&A or Documents)
  • Modify or update fields on specific content
  • Move content to trash
  • Archive content
  • Suggest tags based on the content

The fields that can be changed are:

  • Tag
  • Flag
  • Star rating (1–5)
  • Collections
  • Owners
  • Created date
  • Updated date
  • Last reviewed date
  • Last used date
  • Created by
  • Updated by
  • Keyword

To create an agent, perform the following steps:

  1. Click New Agent at the top of the dashboard.

    If you have not previously created an agent, you can also click the New Agent button in the middle of the page.

    You can see the workflow step on the left. As you build your agent, the details about it will appear on the right. 

  2. Enter the instructions for the agent in natural language. Each instruction should describe the content you want the agent to find, and then an action that should be taken on the content. Some examples include:
    • Find content with no owner and give it the tag No Owner
    • Find content tagged with security
    • Tag content with today’s date

    Agent Studio will check the instructions to make sure they are valid. The AI will ask you clarifying questions if there is any ambiguity.

    Agent Studio will identify two types of errors:

    • Error: The agent is not able to carry out the instructions. This could happen if the records don’t exist or they are currently being modified by another user at the same time.
    • Anomaly: When there are unexpected fluctuations in the volume of information, the agent pauses to get approval before taking action. For example, if a content cleaner agent usually finds approximately 5 Q&A pairs per week, but has now found more than 1000 pairs. When an agent finds an anomaly, it will pause and wait for you to approve the run. It will also provide a preview of the records that match the instructions so you can validate that you have the correct records.
  2. Agent Studio will display its interpretation of your instructions with any results, including the number of records found.

  3. Click View matching results to see what it found. Note: Agent Studio will not change any records if you click View matching results so you can confirm that you have the correct records.

    Review the results to make sure you have the correct records. Click the appropriate tab to see the  Q&A pairs and the documents. When you are finished, click X to close the window.

  4. If the instructions you entered produced the results you wanted, click Looks good. If they didn’t, click Revise. Enter new instructions and click the Send icon to repeat the process.

    When you click Looks good, Agent Studio takes you to Step 2 of the process, Add Details as shown on the left pane. The right pane shows a summary of what you have created so far.

  5. You can upload a custom icon that will appear with the agent’s name. This will make it easier to differentiate between your agents.
    Enter an agent name that makes it easy to understand what it does, or accept the default name. Every agent must have a name.
    You can enter a description of the agent to make it easy to see what it does. When you are finished, click Continue.

  6. Agent Studio takes you to the next step of the workflow. If you want someone to be notified when the agent runs, specify their email addresses. When you are finished, click Continue.

  7. You can now deploy your agent in one of three modes:
    1. Review (Testing): The agent will not change any records until you approve them. We recommend that you run it in Review mode until you are sure that it generates the results you want. 
    2. Go-live: The agent will find and change records automatically, but you can undo the changes if you need to.
    3. Draft: This mode gives you a chance to save the agent and return to it later.

      Select the mode you want and then click Save and Exit. Your agent will appear on the dashboard.

Editing an existing agent

You can make changes to an existing agent quickly and easily. You can also modify a Responsive-provided agent to customize it for your use.

From the dashboard, select the three-dot menu of the agent you want to change, and then click Edit.

You can now change different parts of the agent without having to redo all of it.

  1. If necessary, enter new instructions and click the Send icon. Agent Studio will ask clarifying questions if necessary to make sure the agent will do what you want it to do.
  2. Click the pencil icon to upload an icon to help identify your agent. You can also edit the name and description. When you are finished, click Save.

  4. Click the pencil icon for the notifications to change them. When you are finished, click Save.

  5. Click the pencil icon for the deployment mode to change it. When you are finished, click Save.

  6. Click Save & Exit at the top of the page when you are finished.

Viewing agent activity

Click an agent to see the Activity Log.

You can see the date and time the agent was run, the mode, deployment type, results, number of records impacted, and actions you can take.

Click Impact count to see how many records were found and how many were changed.

You can undo the changes made by the agent for the run. Click Undo to undo any changes made by the agent for that run. If it has already been undone, the link will change to Undone.

Click View Details to see the found and updated records.
