Overview
The Answering Agent is an interactive AI-powered tool that simplifies how teams respond to complex questionnaires such as RFPs, RFIs, and DDQs. Integrated with Responsive ASK, the agent reads uploaded documents, identifies questions, and drafts answers using trusted content from your Content Library.
You can engage with the agent in a conversational way—guiding it with instructions, selecting preferred Datasets, Collections, or Tags, and reviewing its output. It reduces manual effort, speeds up turnaround, and ensures responses align with organizational standards. A Guided Project is created for each interaction, providing a fallback workspace in case manual follow-up is required.
Key capabilities and benefits include:
- Smart question mapping: Automatically detects and organizes sections and questions from uploaded documents reducing manual effort.
- Trusted content sourcing: Pulls responses from your pre-approved Content Library to ensure consistency, accuracy, and compliance.
- Instruction-aware output: Adapts responses based on user-defined prompts/instructions such as tone, response length, and formatting preferences.
- Seamless fallback control: Initiates Guided Projects for seamless follow-up in cases where additional review or input is required.
- Operational efficiency: Reduces proposal team workload and empowers cross-functional teams to respond independently.
Setting Up Answering Agent
To use it, Responsive AI must be enabled at the organization level. Admins can enable Responsive AI by following these steps:
- Go to Organization Settings > Responsive AI > Preferences
- Turn the Responsive AI toggle on.
Note: If your organization has already enabled Responsive AI, you can skip this step.
Using Answering Agent in Ask
You can access the Answering Agent from the Ask interface.
- Click Ask at the top of any page in Responsive.
- Click Answering Agent.
- Click
icon to upload your file or drag and drop your file into the agent's interface.
- (Optional) Customize the agent’s response by applying:
- Dataset
- Click the advance filter
icon on the input box.
- Choose a dataset from the dropdown and click Apply.
- Click Clear or use the
to reset the dataset.
- Click the advance filter
- Applying Filters (Collections and Tags)
- Click the advance filter
icon on the input box.
- Click Advanced Search.
- Choose relevant collections or tags and click Apply.
- Click Clear or use the
to reset the filters. Use
remove the filters.
- Click the advance filter
- Dataset
- Click
or press Enter to post the prompt.
- Once the file is uploaded, the File Mapping agent analyzes the file and starts identifying the questions.
- You’ll receive a prompt with the number of questions identified. You can then choose to:
- Review the identified questions – This opens a Guided Project in a new tab for manual review and edits.
- Proceed with answer generation – The agent generates responses and inserts them into the original file.
- When done, the agent prompts the number of questions it was able to answer. You can now choose to:
- review and complete unanswered questions in the Guided Project or
- Click
to download the final file.
