Managing unverified users to optimize your Responsive license usage

Overview

Once a user is added to Responsive and assigned a user type, they count towards your license usage, regardless of whether they have verified their account. Verification only affects their ability to log in and receive notifications; it does not affect license consumption.

Unverified users can be assigned to projects and will appear in assignee drop-down lists but they can't receive email notifications or access projects without verifying and activating their account.

You can follow the process below to remove the users and free up the licenses, or resend their email invitations.

Reporting for unverified users

If enabled for your organization, you can create a custom report to view all unverified users and their details.

  1. Go to Reports and create a new custom report.

  2. Add the Users module.

  3. Include data columns such as: User Name, Email, Status (Unverified), Date Added, and User Engagement.

  4. Export the report to review project assignments and activity.
    Note: Currently, there is no bulk view of all project assignments per user. Project assignments must be checked individually under the User Engagement section.

Managing unverified users

Once you've identified the unverified users you can either permanently remove (delete) users and their associations, or just make them inactive (you can reactivate them at any time).

If your organization wants to free up user licenses, it can be accomplished through either removal or deactivation.
